The goal of the VKC is to work with community organizations to provide optimal facilities for their use at no cost to the organization. We view this as an important part of our mission, and will work diligently towards this goal. As part of Vanderbilt University, we are required to inform the organizations of specific regulations to which users of the multi-purpose room must adhere.
Note: Since Room 241and 410 are the Vanderbilt Kennedy Center's only space for its many research and outreach events and meetings, the Center may find it necessary to ask a reservation holder to find an alternate location if the Vanderbilt Kennedy Center should need Room 241or 410 for its own event or meeting at the time reserved. This rarely occurs, but if necessary, we want to emphasize that the reservation holder will receive ample notice. We will work with the sponsoring organization to identify other campus resources for event or meeting space.

Organization Responsibilities
A designee of the organization sponsoring the event and using the multi-purpose room is required to provide contact information (cell phone and email) to the VKC facilities manager, Peggy Chatfield. The community organization, through the designee, is responsible for the set up of the multi-purpose room and the lobby. In addition, the community organization is responsible for cleaning up the lobby and the multi-purpose room and resetting it in the theater style format per the diagram attached to the keys, leaving it in the same condition in which it was found prior to the event. It is not the responsibility of the VKC staff or faculty person to set up or clean up these areas. When meetings are scheduled after 5 p.m. or on weekends, the organization designee is responsible for obtaining/returning key. It is against Vanderbilt University policy to prop open doors when locked after hours. Therefore, the community organization of the event must provide a volunteer to remain at the door to allow entry for the event.
Equipment
MRL 241 is equipped with sound system, podium, screen,
overhead projector, slideprojector, VCR-TV, LCD projector and computer, and
flip chart. Users are responsible for arranging for audiovisual or other
equipment needs. When you receive email confirmation of your reservation, you
will be asked to electronically submit your audiovisual needs. Vanderbilt
Room 241 Format
Room 241 is maintained in theater style with 100 stackable chairs. Users are responsible for setting up the room and returning it to its standard format. Tables, chairs, or other furnishings should not be moved in or out without permission. The closet to the right of the stage has sixteen 6' X 1.5' tables (or combined into eight sets of 6' X 3' tables) that can be arranged in different formats. Tables should be returned to the closet.
Room 241 Set Up:
Users are
responsible for picking up keys in advance of events and returning them
afterwards; for turning off lights, and clean up; and for locking doors after
use. Vanderbilt University requires that all four sets of doors should be unlocked during events for fire safety.
The left door to each set of double doors must be secured in the floor and/or
the top of the door casing before locking; otherwise they can be pulled open
even when locked.
Temperature:
Room 241 has four thermostats. In order to maintain optimum temperature, all four must be set to the same setting.
Displays:
The taping of materials to the walls is not permissible. Easels are available on request.

Smoking:
No smoking
is allowed in the Kennedy Center/MRL Building or on the stairs leading to the main entrance. Smoking is
permitted on the patio located to the back of the second floor on the
Eating/Drinking:
Serving of food or beverages should be approved at the time the room is reserved. All refreshments and supplies must be provided by the community organization using the multi-purpose room. Users are responsible for removing any rental supplies, catering supplies, and food immediately following the event; and for clean up. Clean up includes removing trash from room; dumpster is located behind the Educational Library building next door.
Animals:
Assistance
dogs for persons with disabilities are the only animals allowed in MRL.
